Who we are

This website, carlingfordheights.com, is run by Carlingford Heights, a self-catering holiday lodge at Mountain Park, Commons, Carlingford, Co. Louth, A91 X250, Ireland.

We are the data controller for the information described on this page. That means we decide what is collected and what happens to it.

What we collect and why

When you send an enquiry

The form on our contact page asks for your first name, last name, email address, phone number and your message. Only the email address is required; the rest is there so we can reply properly.

We use it to answer your enquiry and nothing else. We do not add you to a mailing list.

When you send a booking request

The booking form asks for your name, email address, phone number, the number of people in your party, your arrival and departure dates, and any special requests you want to tell us about.

We use it to check whether the house is free, to tell you what the stay would cost, and to arrange it if you go ahead.

The lawful basis for both

Under the GDPR we rely on Article 6(1)(b) — taking steps at your request before entering into a contract — and, where you are asking a general question rather than booking, our legitimate interest in replying to people who contact us.

When you simply look at the site

• Analytics. If you accept cookies, Google Analytics records anonymous information about your visit — which pages you looked at, roughly where in the world you are, and whether you came from a search engine, a link or an advert. It does not tell us who you are. If you do not accept, no analytics run at all and nothing is recorded.
• The map on our contact page. The map is not loaded until you accept cookies. Until then you see a placeholder in its place. Once loaded, Google receives your IP address and can set cookies in your browser.
• Fonts. Our page design uses typefaces served by Google Fonts. Your browser requests them from Google when the page loads, which means Google receives your IP address.
• Server and security records. Our website host and our security software keep short-term technical records, including IP addresses, so that the site can be kept running and protected from attacks. These are not used to identify visitors and are not linked to enquiries.

Cookies

The consent banner you saw on your first visit controls everything that is not strictly necessary for the site to work. You can change your mind at any time by opening the Cookie Policy and using the Manage consent controls at the bottom of that page.

The Cookie Policy lists every cookie the site uses, what each one does and how long it lasts.

Who else sees your information

We do not sell your information and we do not share it for anyone else’s marketing.

The following handle information on our behalf, in each case only to provide the service we use them for:

• Our form provider (JotForm). Enquiry and booking forms are built and hosted by JotForm. What you type goes to JotForm’s systems and is emailed on to us.
• Our email provider. Your message arrives in the Carlingford Heights mailbox and stays there in the same way as any other email.
• Our website host. The site and its technical records sit on our hosting provider’s servers.
• Google. Analytics, Maps and Fonts, as described above.

We may also pass on information where the law requires it, or where we need to establish or defend a legal claim.

Information that leaves Europe

JotForm and Google are based in the United States. Where information reaches them it is transferred under the safeguards that European data protection law allows for transfers outside the European Economic Area, which each of them sets out in their own data protection terms.

How long we keep it

Enquiries that do not lead to a booking are kept only for as long as we might reasonably need to follow them up, and are then deleted.

Booking correspondence is kept for as long as we need it to run the letting and to meet our tax and record-keeping obligations, and is deleted once those have passed.

You can ask us to delete your information sooner, and we will unless we are required to keep it.

Your rights

Under the GDPR you have the right to:

• ask what information we hold about you and get a copy of it;
• have anything inaccurate corrected;
• ask us to delete it;
• ask us to restrict what we do with it, or object to us using it;
• receive it in a portable form; and
• withdraw your consent to cookies at any time, without affecting anything that happened before you withdrew it.

To exercise any of these, email info@carlingfordheights.com. We will reply within one month.

If you are not happy with how we have handled your information, you can complain to the Irish Data Protection Commission at www.dataprotection.ie, or to the supervisory authority in the EU country where you live.

Children

This website is not aimed at children and we do not knowingly collect information about them. Bookings are made by adults, who tell us only how many people are in the party.

Changes to this policy

If we change how the website handles information, we will update this page and change the date at the top.
